terms & conditions

Please read these conditions carefully and retain for future reference as they form the basis of your contract between us Snowed Inn Chalets and all those listed on the booking form on whose behalf the party leader is acting. A contract will only exist once you are confirmed through our online system, Chalet Manager, with the total deposit received.

1. Deposits and Payments

Snowed Inn Chalet Holidays
A deposit of 25% (of accommodation cost) per person are required at the time of booking. The final balance of payment is due 8 weeks prior to departure. If final payment has not been received by this date (every effort will be made to contact the client to remind them of payment dates), the booking will be treated as a cancellation and the deposit and the insurance premium shall not be refunded. Should the booking be made within 8 weeks of the date of departure, the full amount is payable immediately. No contract shall exist between Snowed Inn Chalets and yourself until you receive a log in for Chalet Manager and your deposit is paid.

Forms of Payment

Acceptable payment types are Bank Transfer and credit card payments are made via PayPal and incur a 3% charge.

Snowed Inn Chalets will not be responsible for charges imposed on you, by your bank or credit card issuer. This also includes payment discrepancies caused by variations in exchange rates used by your bank / credit card issuer.

In the event of dishonoured payment the group leader will be contacted to make immediate payment by other means. Failure to do this will mean automatic cancellation of the booking.

In the event of late payment of your final balance, charges or loss of revenue incurred on our behalf will be added to your balance.

2. Cancellation & Changes

By Snowed Inn Chalets - In the unlikely event of Snowed Inn Chalets having to cancel/change your holiday details you will be notified as soon as possible and will have the choice of the following, as applicable:
A - accepting the change.
B - accepting an alternative holiday with us. You will need to pay any unpaid balance, and you will need to pay the difference if the price for the new booking is higher. No refunds will be given for partial use of this credit note.
C - cancelling your holiday, in which case we will offer you a full refund.

By you - If you change any of your flight details after having booked your holiday, an administrative charge may be incurred which will then be passed on to you. If you are obliged to cancel your booking you must inform Snowed Inn Chalets in writing immediately to info@snowedinnchalets.com. In all cases your premium and deposit will be forfeited and you will become liable for charges on the following scale:

- less than 60 days before rental period: 100 % of monies paid

-  more than 60 day before rental period: 0 % of monies paid

*** In the event of cancellation due to a pandemic/COVID-19 we will refund 100% deposit if cancelled 60 days before your stay.  We have the following alternatives.

- a credit note/deferral to the value of your booking to be used within 24 months from the date of cancellation.

- a refund of all monies paid by you save for a retention equal to 20% of the total price. If Covid-19 Restrictions no longer apply at the time your booked holiday was due to take place and we have been able to re-sell the accommodation to someone else, we will refund the retention.

If the reason for wishing to cancel is a Covid-19 Restriction you may only do so within 7 days of your arrival date and you must inform us of this when you write to us providing details of the exact Covid-19 Restriction that you believe applies.   If we accept your cancellation due to a Covid-19 Restriction, please refer to the alternative options. 

If the reason for your cancellation falls within your insurance cover, you may be able to claim a refund of your cancellation charges from the insurance company less any applicable excess.

If we cancel due to a Covid-19 Restriction the provisions that follow apply, also

If your booking is cancelled as a result of a Covid-19 Restriction then we will, if possible, provide you with the following alternative options: 

- you will be issued with a credit note to the value of your booking payments to be used at a future date within 24 months from the date of cancellation, subject to availability. You will need to pay any unpaid balance, and you will need to pay the difference if the price for the new booking is higher. No refunds will be given for partial use of this credit note; or

- a refund of all monies paid by you save for a retention equal to 20% of the total price.  If Covid-19 Restrictions no longer apply at the time your booked holiday was due to take place and we have been able to re-sell the accommodation to someone else, we will refund the retention. 

Covid-19 Restrictions mean any of the following applying at the date of the notice of cancellation:

-The Foreign & Commonwealth Office has advised against travel for British nationals to Serre Chevalier, the P.A.C.A region, or France in general; or

-The UK Government has introduced quarantine requirements for travellers returning from Serre Chevalier, the P.A.C.A region, or France in general; or

-The French Government has introduced quarantine measures for travellers from the UK; or

The French Government has introduced local or general lockdown measures which result in us being unable to operate.

3. Behaviour

Whilst on Snowed Inn Chalets property all clients are expected to behave in an orderly and acceptable manner. Should their behaviour threaten the condition of the accommodation or seriously impair the enjoyment of other guests, Snowed Inn Chalets reserves the right to refuse to further accommodate the guilty party and contractual obligations will be terminated. The guilty party will be liable for the cost of any damage so caused.

4. Responsibility

In the event of death or personal injury to yourself or any of your party travelling with us under your booking we do not accept liability if such death or personal injury is not through any fault of ours or our supplier. In particular we do not accept responsibility if the death or personal injury is caused through no fault of ours or our suppliers or is due to circumstances which we could not reasonably foresee or have avoided.
You agree that if you have a claim against us which is the fault of another party that in the event of our dealing with your claim those rights that you have against the other party are transferred to us or our insurers. Various International Conventions govern compensation, which can be paid in other circumstances whilst on holidays or travelling and these Conventions apply to our Contract with you.

We do not accept liability or pay compensation for any event which Snowed Inn Chalets could not foresee or avoid, amounting to Force Majeure (Force Majeure meaning war, political unrest, weather, strikes, acts of God, epidemics, riots, civil strife, industrial disputes, terrorist activity, natural or technical disasters, nuclear war)

We do not accept liability or pay compensation for any cancellation, loss, delay or costs wheresoever or howsoever arising or connected with adverse weather or traffic conditions, avalanche, mud slips, slides and snow conditions and the effect any of these may have on travel arrangements, accommodation and activities.

We do not accept liability or pay compensation for limitations imposed by resort authorities, ski-lifts, ski school or ski hire operators.

We do not accept liability or pay compensation for travel arrangements made by the group or on behalf of the group.

5. Disclaimer

All persons undertaking the activities operated by Snowed Inn Chalets and our suppliers accept and understand that the activities contain an inherent level of risk of death and personal injury, no claim pertaining to injuries or death sustained whilst participating in one of Snowed Inn Chalets or our suppliers activities will be entertained nor liability accepted by Snowed Inn Chalets or its suppliers.

6. Vehicle, Personal Possessions and Luggage

Snowed Inn Chalets will not be held responsible for any theft or loss of personal possessions from our premises / vehicles. Whilst we will endeavour to ensure the security of personal possessions of the party, we cannot guarantee it. Please be aware of this fact and leave expensive / personally valuable items at home.

7. Smoking policy

We operate a strictly no smoking policy in all our vehicles and inside our accommodation facilities. If people wish to smoke they must do so outside of these areas. If it is found that you have smoked within our accommodation you will be liable to a cleaning charge of up to £500.00.

8. Check In / Check Out Times

On arrival your room will be available after 4.00pm, on departure day you must vacate your room by 10:00am. If required storage facilities for luggage will be provided on departure day.

Arrival: . If, however, you arrive earlier you are welcome to leave your luggage with us whilst you pop into town for a coffee or beer. The same conditions apply to self-drive guests.

Departure: . If you would like to ski on your last day, and consequently are planning to book a later return flight, Snowed Inn Chalets can store your luggage in the chalet free of charge. We cannot guarantee a room being available to shower or change in.

9. Insurance

Everyone booking a Snowed Inn Chalets holiday must be insured. If, on arrival in the resort, you are found to have insufficient cover you will be obliged to purchase a suitable insurance policy.  We recommend your policy must include,

– Emergency Medical Expenses including, amongst other costs; ambulance charges and repatriation;

– Pandemic and epidemic cover including coronavirus, including but not limited to additional costs if self-isolation is required during or following your stay;

– Cancellation of your trip or Curtailment cutting short your trip including but not limited to contracting coronavirus;

– Personal Liability to include, amongst other liabilities; damage caused by your (or your party’s) negligence to the property in which you are staying and may not include a clause which restricts actions being taken against a travelling companion other than family and must include contractual liability of the party leader for the actions of his part; 

– Travel and transfer delays which must include amongst other costs; additional costs incurred in the event of a delay;

– All the activities you are likely to undertake including skiing and snowboarding whether on or off piste and whether with or without a guide.

The policy must cover the period from the date of booking to the last day of your trip and may not have a clause allowing the insurer to cancel the policy nor vary the terms usually following medical reasons unless there has been individual underwriting with specific terms.  

Note:- There are of course other sections to a Travel Insurance policy such as Baggage and ski equipment, Legal Expenses, Personal Accident and so on. 

In the event that you fail to obtain suitable Travel Insurance we shall not be liable for any costs incurred or claims made against us due to your failure to comply with this condition.

10. Resort Prices

Any indicated prices for activities, equipment hire, instruction and ski passes were as accurate as possible at the time of publication. We cannot accept any responsibility for any variation between that time and the date of your holiday.

11. Complaints

Any complaints should be made clear to chalet staff as soon as possible, preferably in resort, or to our office no later than 14 days after returning to the UK.

12. Visa/Passports

It is your responsibility to be in possession of a valid passport and/or any visa necessary. If you do not have a British or EU passport, please be sure to check visa requirements for the countries you will be visiting.
 

13. Website Information

Snowedinnchalets.com website information is correct to the best of Snowed Inn Chalets knowledge at the time of going live. Information relating to the resort cannot be guaranteed since changes can occur at any time outside the control of Snowed Inn Chalets.

14. Mountain Guiding and hosting / Orientation
Sadly, we can no longer offer this service due to new French Laws. It is not included in our service.

​

15. Transfers

Transfers are not included in the price of your holiday but can be arranged on request. Transfers may be by our own vehicles or by vehicles of other providers with whom we might make arrangements from time to time. It may sometimes be necessary to combine, on certain transfers, clients arriving or departing on more than one flight, which may require additional waiting time at the airport. Clients travel in our vehicles or other providers’ vehicles at their own risk. Transport around resort during the holiday is at the discretion of Snowed Inn Chalets staff.

• We will always allow adequate time to get you safely and on time to the airport. However, there can be unforeseen exceptional circumstances that mean you miss your flight or train. Please note that for any costs incurred you will need to claim against your holiday insurance. We will provide any paperwork required to support your claim.

• In the event of closure of routes due to extreme snowfall, clients will be incurred extra costs for a re route. Our aim is to get you to the airport in time. However, we cannot control the weather. Please note that for any costs incurred you will need to claim against your holiday insurance. We will provide any paperwork required to support your claim.

16. General Terms

Outdoor Shoes - It is important that, for your comfort, a pair of slippers or indoor shoes are included in your packing as outdoor shoes are strictly forbidden inside the chalet.

Children - No matter how much care is taken, our chalet is not childproof. Snowed Inn Chalets will not be held responsible for any accidents occurring within the chalet, it is the parent’s responsibility to ensure their children are supervised at all times.

Lost and Stolen Property - Any client not properly securing the exits after leaving the chalet will be liable for any property stolen as a result of that negligence.

Snowed Inn Chalets will not be held responsible for any theft or loss of personal possessions from our premises / vehicles. Whilst Snowed Inn Chalets will endeavour to ensure the security of guests’ personal possessions, Snowed Inn Chalets cannot guarantee it.

It is up to the group leader to ensure that each member of the party is responsible for the safety of all their own personal possessions, documents and equipment. No responsibility or liability is or will be accepted in respect of such items.

Special Requests - If you have a special request, please clearly note this in Notes in your Chalet manager online booking  or if later make it in writing, but we cannot guarantee any request that you ask us to provide unless we have confirmed it in writing. If you request us to pass on requests to other service providers (e.g. Ski schools or nanny services) we cannot guarantee such services will be provided even if we confirm that they have been passed on. Please note that all services are provided subject to the conditions of the relevant supplier, some of which may limit or exclude the supplier's liability to you.

Cots, High Chairs, Car Seats - Please request at time of booking if you require this facility. We cannot be held liable if you have not requested.

Privacy

We do not wish to use your details for anything other than contacting you regarding your stay and the occasional newsletter. Should you wish to stop receiving emails or newsletters from us please contact us at info@snowedinnchaets.com and we will delete your details or as requested.

​

We will sometimes pass your details onto a provider of services in the area, for example the hire shop should you be able to get more information directly from them with the view to get a better service. Please contact us if you do not consent to this.
